At Prime Vacations, we understand that circumstances can change, requiring alterations to your travel plans. This Refund Policy outlines the terms and conditions regarding refunds for our travel packages and services.

Please read this policy carefully before making a booking. By booking a travel package with Prime Vacations, you agree to the terms of this Refund Policy.

2. Cancellation and Refund Schedule

The following cancellation and refund schedule applies to all standard travel packages unless otherwise specified in your booking confirmation:

3. Special Circumstances

3.1 Medical Emergencies

In case of a serious medical emergency that prevents travel, we may offer more favorable refund terms upon receipt of valid medical documentation. Such situations are handled on a case-by-case basis.

3.2 Force Majeure Events

In the event of force majeure circumstances (such as natural disasters, epidemics, pandemics, war, civil unrest, or government travel restrictions) that significantly impact your trip, we may:

  • Offer you the option to postpone your trip without additional fees
  • Provide a credit voucher for future travel
  • Process a refund as per our standard policy or any special policy in effect for the specific event

3.3 Package Cancellation by Prime Vacations

If Prime Vacations cancels your trip for any reason other than force majeure:

  • You will receive a full refund of all payments made to Prime Vacations
  • If desired, we can offer a credit of 110% of your original payment to be applied to a future booking

4. Non-Refundable Items

The following items are generally non-refundable under any circumstances:

  • Travel insurance premiums
  • Visa processing fees
  • Any third-party charges that are non-refundable to Prime Vacations
  • Express processing or rush fees for any service
  • Service fees for changes to bookings

5. Refund Process

5.1 How to Request a Refund

To request a refund, you must submit your cancellation in writing to [email protected]. Your request should include:

  • Your full name as it appears on the booking
  • Your booking reference number
  • The reason for cancellation
  • Any supporting documentation (if applicable, such as medical certificates)

5.2 Processing Time

Refund requests are typically processed within 7-10 business days of approval. After processing, it may take an additional 5-15 business days for the funds to appear in your account, depending on your payment method and financial institution.

5.3 Refund Method

Refunds will be issued using the same payment method used for the original purchase whenever possible. For example:

  • Credit card payments will be refunded to the same credit card
  • Bank transfers will be returned to the originating account
  • If the original payment method is no longer available, we will work with you to arrange an alternative refund method

6. Travel Insurance Recommendation

We strongly recommend purchasing comprehensive travel insurance that includes trip cancellation coverage. Travel insurance can provide protection for many circumstances that our standard refund policy does not cover.

While we can assist you in finding suitable travel insurance, all claims must be filed directly with the insurance provider according to their policies and procedures.

7. Package Changes

7.1 Changes by Customer

If you wish to make changes to your booking rather than cancel it entirely:

  • Changes requested more than 45 days before departure are subject to a service fee of ₹5,000 per booking plus any difference in package price
  • Changes requested 30-45 days before departure are subject to a service fee of ₹10,000 per booking plus any difference in package price
  • Changes requested less than 30 days before departure are treated as a cancellation and rebooking, subject to our standard cancellation policy

7.2 Changes by Prime Vacations

If we make significant changes to your package after booking but before departure, you will have the following options:

  • Accept the changes and the revised package price (if applicable)
  • Choose an alternative package of comparable standard and price (if available)
  • Cancel your booking and receive a full refund of all monies paid

8. Updates to this Policy

We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting on our website. It is your responsibility to review this policy periodically for changes.

The refund terms that apply to your booking are those that were in effect at the time your booking was confirmed.
